Team Sharing Quick Start
Introduction
Team sharing lets you manage prompts collaboratively. After creating a team, members can share prompts to improve collaboration and preserve team knowledge.
Each team on a Team plan supports up to five members.
Common uses:
- Sharing frequently used prompt templates within a design team
- Maintaining a prompt library collaboratively
- Managing and preserving team knowledge
Create a Team
Required permission: Any signed-in user can create a team.
- Open the Teams page
- Click Create Team in the upper-right corner
- Enter a team name and confirm
After creating the team, you automatically become its Owner and receive the highest level of administrative access.
Join a Team
There are two ways to join a team.
Member limit: Each team supports up to five members. After reaching the limit, no one else can join or be invited.
Join with an Invitation Code
Required permission: Any signed-in user can join with an invitation code.
- Get an invitation code from the team owner or an administrator
- Open the Teams page
- Click Join Team
- Enter the invitation code and confirm
After joining, your default role is Member.
Join with an Invitation Link
Required permission: Any signed-in user can join with an invitation link.
- Receive an invitation link from the team owner or an administrator
- Open the invitation link
- Confirm that you want to join on the preview page
After joining, your default role is Member.
View Team Prompts
After joining a team, you can view prompts shared by its members.
In the Web App
- Open the Teams page
- Click a team card to open its details
- View the shared prompt list
In the Extension
Team prompts are synced to the extension's drop-down menu:
- Click the drop-down menu beside the input field on a supported platform
- Select the Team Prompts category
- Select the prompt you want to insert
Share a Prompt with a Team
Required permission: All team members can share prompts with a team.
You can share a prompt you created so other members can use it.
- Select the prompt in the extension side panel
- Click Share with Team for that prompt
- Select the destination team
- Confirm sharing
The prompt then appears in the team's shared prompt list.
Import a Team Prompt
You can import a team prompt into your personal prompt library.
- Select a prompt from the team prompt list
- Click Import to Personal Library
- Confirm the import
The prompt appears in one of your personal categories, where you can edit and use it freely.
Permissions
Teams have three roles with different permissions:
| Role | Permissions |
|---|---|
| Owner | Full access: delete the team, manage members, refresh the invitation code, update team settings, and share prompts |
| Administrator | Administrative access: invite members, update team settings, refresh the invitation code, and share prompts |
| Member | Basic access: view and share team prompts, and import prompts |
The user who creates a team becomes its owner. New users join as members and can be promoted to administrator by the owner or an administrator.
Manage Team Members
Required permission: Owner or administrator.
View the Member List
- Open the team details page
- Click the Member Management tab
- View the member list, including roles and join dates
Invite New Members
There are two ways to invite members.
Each team supports up to five people. After reaching the limit, new invitations cannot be generated or accepted.
Option 1: Share an invitation code
- View or refresh the invitation code on the team details page
- Send the code to the user you want to invite
- The user joins with the invitation code
Option 2: Send a direct invitation
- Click Invite Member on the Member Management page
- Enter the user's email address
- The system sends an invitation link to the user
Refresh the Invitation Code
If an invitation code is exposed or needs to be replaced:
- Open the team details page
- Click Refresh Invitation Code
- The new code takes effect immediately and the old code becomes invalid
Team Settings
Required permission: Owner or administrator.
Update the Team Name
- Open the team details page
- Click the Team Settings tab
- Edit the team name
- Click Save
Delete a Team
Required permission: Only the owner can delete a team.
- Open the team details page
- Click the Team Settings tab
- Click Delete Team
- Confirm deletion
Deleting a team permanently removes all team data, including shared prompts. This action cannot be undone.
